Communicating With Clients
Communication between clients and event planners is key to a successful experience. Many clients have only a vague idea of where they want to go and what sort of experience they want to have. What information do you need to make their experience as perfect as possible?
Who is going on this trip? It seems rudimentary but you just have to know if the client is taking a spouse, family, or fishing buddy with them to this event. Honeymooners will most likely want much different accommodations than families.
Does anyone on the trip have dietary or medical needs that need to be taken into consideration? If your client is vegetarian/vegan, sending him on a steak house tour of the southwest is going to be a big mistake. The same is true for individuals who keep to a strict religious diet. There are many hotels and restaurants that will accommodate these guests, but you must have the information in hand.
Everyone is willing to discuss budget but do you know your client’s ultimate goal? Does she want to relax and get away from it all or fling herself into the nightlife of a city?
Ask questions about past experiences both good and bad. The answers will help you find exactly the right place and activities to ensure client satisfaction.
