What to Include in Inclusive Travel

The event planner who specializes in inclusive travel deals with employee rewards to a large degree. Those who do not specialize in this field still get requests to do so, however; here are a few tidbits for the novice planner who wants to start offering inclusive travel services to his or her clients.

Airfare

This is the biggie. Many companies want a reward program with accommodations and airfare, but want to save a few bucks by “allowing” the guest to make her own dining arrangements. Excluding meals is often a plus with employees who enjoy finding great restaurants on their own, but also adds a sense of adventure to a reward trip.

So you will have the task of finding inexpensive travel arrangements. You can either rely on a pre-determined package offered by another company or find the appropriate airfare yourself. Whatever suits the client’s needs best is your command.

Food and Beverage

Some companies want to include food and beverage–which usually includes tips as well–in their rewards programs. This can make it more difficult for you to give them a solid price structure unless you choose the dining facilities and make prior arrangements.

This can sometimes be easier if you have a group to plan for. Participants will understand the need for choosing dining establishments for them, where individuals may not enjoy that as much. Often the hotel restaurant makes the best choice in either case–make arrangements with the hotel in advance so that you can give your client a more firm price.

Activities

This is easier than you might think. Sometimes hotels have coupons to local attractions for their guests, and they might be able to help you get even better prices if you go through them, whether it’s amusement parks, a jazz club tour, outdoor activities, or sports events/activities.

Although these are the basics, there are many other things you will think of during your career as a planner. You would be best served to keep a log of your thoughts for further use. Who knows–maybe someday you can write a blog about it.
